Sponsorship and Trade Exhibitions
Echo Event’s conference managers have extensive experience in event management sponsorship.
The most successful sponsorship raising often occurs when a committee member or client makes the first approach to potential sponsors. The Conference Management Company will then take over all communication with the potential sponsors, including sending out the proposal, negotiating terms and entitlements and ensuring all entitlements are managed effectively.
Echo Events carry out the following:
- Extensive research to identify new sponsors to approach in addition to those potential sponsors already identified
- Develop and write a sponsorship proposal in conjunction with the committee conference event planner
- Ascertain the best contact details and recipient
- Distribute the sponsorship proposal
- Follow-up and negotiate with potential sponsors
- Confirmation letters and tax invoice to confirmed sponsors
- Management of confirmed sponsors entitlements
Echo Events undertake a similar process to procure trade exhibitors:
- Identify potential new exhibitors through extensive research
- Develop and write a trade exhibitor prospectus
- Ascertain the best contact details and recipient
- Obtain quotes, negotiate and contract the supply of the trade exhibition display booths, furniture, poster boards etc.
- Distribution of the trade exhibitor prospectus
- Follow-up and negotiation with potential exhibitors
- Confirmation letters and tax invoice to confirmed exhibitors
- Write and distribute the trade exhibitors kit and floor plan
- Liaise with the trade exhibition supplier to finalise requirements
- Management of trade exhibitions and the supplier contract
